Your management team needs access to Aplauso to view analytics, manage employees, handle alerts, and run reports. Aplauso uses a role-based access system so each manager sees exactly what they need - and nothing they shouldn't.


Management Roles in Aplauso

Tip: Use the Manager role for department heads and front-of-house supervisors. Reserve Admin for operations directors and GMs who need to configure the platform.


Inviting a Manager

From the Management Dashboard

  1. Go to my.aplauso.io/manage/team.
  2. Click Invite Team Member.
  3. Enter their email address.
  4. Select their Role (Manager, Admin, Supervisor).
  5. (Optional) Select the Departments or Outlets they oversee - this scopes their analytics view to only their areas.
  6. Click Send Invite.

The invitee receives an email to create their Aplauso account. They don't need to connect a Stripe or bank account - management accounts don't receive tips or payouts.


Scoping Access to Specific Departments or Outlets

For multi-property or multi-department setups, you can restrict a manager's view to specific areas:

  1. After inviting or when editing a team member, expand Access Scope.
  2. Select which Outlets and Departments they should see data for.
  3. Save.

A department manager at the Spa will only see Spa analytics - they won't see Valet or Housekeeping numbers unless you explicitly grant it.


Granting Insights Dashboard Access

The Insights analytics dashboard (accessible at my.aplauso.io/manage/insights) provides drill-down performance, revenue, and satisfaction analytics. This is available to Managers and above, but can be restricted to Admins and Owners only.

To grant or revoke Insights access:

  1. Go to Manage → Team → [Team Member] → Edit.
  2. Toggle Insights Access on or off.
  3. Save.

What Managers Cannot Do

To protect financial data and employee privacy:

  • Managers cannot view or withdraw individual employee balances or bank account details
  • Managers cannot change roles above their own level (a Manager cannot promote someone to Admin)
  • Supervisors cannot modify employees - read-only view only
  • No management role can access another employee's personal Stripe payout account

Removing or Changing a Manager's Access

  1. Go to Manage → Team.
  2. Click the team member's name.
  3. To change role: Select a new role from the Role dropdown and save.
  4. To remove access: Click Deactivate - they will no longer be able to log in.

Deactivation is reversible - you can re-activate a deactivated team member without losing their permission settings.
