Invite codes are the standard way for employees to be connected to a property, organization, and department in Aplauso. Managers generate codes; employees enter them during sign-up.

For Managers: Creating an Invite Code

You must have a role of Manager or higher to create invites.

  1. Go to my.aplauso.io and open Manage > Team.
  2. Click Invite Employee (or the + button).
  3. Fill in the invite details:
    • Role - the role the new employee will have (e.g., Employee, Front Desk, Manager)
    • Department - optionally pre-assign them to a department
    • Email (optional) - if provided, the invite email is sent automatically
  4. Click Create Invite.
  5. A code is generated - share it with the employee directly or via the email link.

You can view all pending and accepted invites under Manage > Team > Invites.

For Employees: Entering an Invite Code

If your manager gave you an invite code:

  1. Sign in at auth.aplauso.io with your phone or email.
  2. During the onboarding flow, you will see an "Enter Invite Code" field.
  3. Type the 8-character code exactly as given (codes are case-insensitive).
  4. Tap Apply Code - you will see a confirmation showing the property and role you are joining.
  5. Complete the rest of onboarding.

Your account is now linked to the property. You can start receiving tips immediately.

What If I Skip the Invite Code?

If you complete onboarding without an invite code, your account is created as a standalone individual account. You can still enter an invite code later by going to Settings > Account > Join a Property and entering the code there.

Contact your manager if you do not have a code or if your code has expired - they can generate a new one in seconds.

For Managers: Tracking Invite Status

Under Manage > Team > Invites, each invite shows:

  • The code (partially masked for security)
  • Status: Pending or Accepted
  • Creation and expiry dates
  • The employee who accepted it (once used)

Expired unused invites can be deleted and regenerated if needed.
